Case Study 1 - Confidential Police Case Files
Challenge
A large Municipal Police Department was installing an electronic document management system to handle the ever increasing crunch of paperwork they were experiencing. They were prepared to scan all incoming paperwork on a day forward basis but understood from the start that while much of the success of the system would depend upon their ability to integrate documents dating back to 1988, they would not have the man or machine power available to convert those documents. An added challenge was the need for complete confidentiality. In addition, the paperwork in question involved, in some cases, active investigations so it was essential that the officers be able to retrieve the files quickly any time of the day or night throughout the conversion process. An RFP was prepared and the project was put out for bid.
Solution
International Data Depository not only was the low bidder, but we were also the company that most closely filled all the requirements of the RFP. After visiting our facility, the police department was confident that our high security and confidentiality claims were more than adequate. As a functioning records storage center, every box of files is logged and tracked throughout our facility. 24/7 access by courier or fax was not an extra; it is part of every job we undertake. The conversion services we offered were fast and accurate. The Department required considerable sampling and testing prior to going into full production. Working closely with the Department and the systems integration company they had selected, we quickly "tweaked" the original plan to ensure the exact functionality they were looking for. We then went into full production mode. The plan was for us to start with 1988 and work forward, while their in-house scanning department would start with 1999 and work backwards. After over 1½ million documents, they decided to abandon their own scanning efforts and have International Data Depository scan everything, including year 2000 documents. It was the safest and the most cost-effective solution for them.
